Writing a resignation letter — what actually matters
A resignation letter has a single legal job: confirm in writing that you’re ending the employment, on what date, and that you’ll work your contractual notice. Everything else is professional courtesy. Keep it short, dated, and unambiguous — this is a formal document, not a personal essay.
What to include
Every UK resignation letter needs the date you’re writing, a clear statement that you’re resigning, the role you’re resigning from, and your final working day calculated from your notice period. Most also include a brief thank-you and an offer to support a smooth handover.
What to leave out
Don’t list grievances, criticise colleagues, or explain your new role unless you want to. The letter goes on file and can be referenced years later — keep it neutral. If you want to give honest feedback, do it in a separate exit interview, not in the resignation letter itself.
Tone — neutral, warm, or firm?
Neutral is the safe default for most situations. Warm works when you’ve genuinely enjoyed the role and want to keep relationships open — useful when your industry is small and you’re likely to cross paths again. Firm is for when there’s been a dispute or you want to put practical asks (final pay confirmation, P45, holiday balance) on the formal record.
How to deliver it
Email is fine for most modern UK employers. Address it to your line manager, copy your HR contact. For senior or regulated roles a printed letter handed over in a one-to-one is more usual — your contract or HR policy may specify. Either way, keep a dated copy for your own records.

- Do I have to give written notice?
- Most UK contracts require written resignation. Even when they don’t, written notice puts the date and terms beyond dispute. Email is acceptable for most employers.
- Can my employer reject my resignation?
- No. Resignation is a unilateral act — see this FAQ. They can challenge the notice length if it doesn’t match your contract, but they cannot refuse to accept it.
- Do I need to give a reason?
- No. A neutral, dated resignation letter with your final working day is enough. You can add a reason if you want to, but there’s no obligation.
- What date do I put as my final working day?
